Prague Event Hub Enquiry Form

This notice explains how the personal data you provide through the enquiry form on the Prague Event Hub website (the “Platform”) is processed.

1. Who processes your data

The Prague Event Hub Platform does not have a separate legal personality. The controller of personal data for the operation of the online form, receipt of your enquiry and its forwarding to the service providers selected by you is:

(hereinafter referred to as the “Platform Operator”).

Once they receive your enquiry, the individual service providers whose services you request through the form process your personal data as independent controllers for the purposes of preparing an offer, negotiating a contract and, where applicable, providing their services. Information about each provider’s processing of personal data is available next to its name in the form or at the following links:

2. What data we process

In connection with the enquiry form, we process in particular:

  • your first and last name;
  • the name of your company or organisation;
  • your email address;
  • your telephone number;
  • information about the planned event, such as the type of event, date, number of guests, required premises, accommodation, catering, sports programme or other requested services;
  • the content of your message and any other information you voluntarily provide to us;
  • technical data relating to the submission of the form, in particular the date and time of submission, enquiry identifier, and data necessary for security purposes and troubleshooting technical issues.

Please do not include any special categories of personal data or other sensitive information in the form unless such information is necessary for your enquiry.

3. Why we process your data

The Platform Operator processes your data for the purposes of:

  1. receiving, recording and assessing your enquiry;
  2. forwarding your enquiry only to the service providers you have selected or whose services you have expressly requested in the form;
  3. coordinating communications relating to your enquiry and the preparation of an offer;
  4. ensuring the security, functionality and protection of the online form and related systems;
  5. protecting and enforcing legal claims where necessary.

The mere submission of an enquiry does not result in your data being used by individual service providers to send you marketing communications, nor is your data made available to service providers whose services you have not requested.

4. Legal basis for processing

The processing of your data for the purpose of receiving and handling your enquiry, including forwarding it to the service providers selected by you, is necessary in order to respond to your request for an offer and to take steps in connection with a potential contractual relationship.

The Platform Operator also processes necessary data on the basis of its legitimate interest in ensuring the proper, secure and demonstrable operation of the Platform and in protecting its rights.

Each service provider to whom an enquiry is forwarded independently determines the legal basis for its subsequent processing. Further information is provided in the respective provider’s privacy policy.

5. Who will receive your data

Your enquiry will be forwarded by email or through an approved system only to those service providers whose specific services you request in the form. These service providers may contact you directly regarding your enquiry.

The Platform Operator’s technical service providers may also have access to your data to the extent necessary, for example providers of hosting, website administration, email solutions, security services or CRM systems. These service providers may process the data only in accordance with the Platform Operator’s instructions and to the extent necessary to provide their services.

The current list of service providers to whom an enquiry may be forwarded is provided directly in the form.

The Platform Operator does not transfer personal data outside the European Economic Area.

6. How long we retain your data

The retention period applicable to each individual service provider is governed by that provider’s own privacy policy and, where applicable, by its contractual relationship with you.

7. Your rights

Subject to the conditions laid down by applicable law, you may request:

  • access to your personal data;
  • rectification of inaccurate data or completion of incomplete data;
  • erasure of your personal data;
  • restriction of processing;
  • data portability;
  • the right to object to processing based on legitimate interests.

Requests relating to processing through the online form and the forwarding of your enquiry may be submitted to the Platform Operator using the contact details provided in Section 1. Requests relating to subsequent processing by a specific service provider should be submitted directly to that provider using the relevant link provided in Section 1.

If you believe that your personal data is not being handled properly, you may lodge a complaint with the competent data protection supervisory authority.

8. Automated decision-making and marketing

No automated decision-making or profiling that would produce legal effects concerning you or similarly significantly affect you takes place in connection with the handling of your enquiry.

9. Changes to this notice

We may update this notice as appropriate, in particular in the event of changes to the service providers, the operation of the Platform or the technologies used. The current version will always be available on the Platform’s website.
